ODL treats the personal data submitted by natural persons according to applicable laws and regulations including the regulation (UE) 2016/679 dated 27th April 2016 on the protection of natural persons with regard to the processing of personal data and on the free movement of such data, herewith designated with GDPR.
ODL treats your personal data, like name and surname, private or professional address and e-mail, private or professional telephone number, social security number, tax number, account number and BIC code and signature, whenever you apply to one of ODL’s services, in order to verify if you are or have been a client of ODL and to determine which service you can benefit from.
ODL may need to ask for additional background information with reference to your request in order to verify whether the requested service falls within its competence and missions or to allow your application to succeed.
However, since your relationship with ODL is exclusively and solely within the scope of your professional activity, ODL will not require personal data relating to your private life nor sensitive data concerning your racial or ethnic origins, your sexual orientation, your political opinions, your religious or philosophical beliefs or your trade union membership.
We invite you to be careful not to give us such data. If such data were to be included in the information and documentation that you would provide to ODL on your own initiative and unrelated to your file, ODL reserves the right to return to you the original documents or to destroy the documents in question and endeavor as far as possible to erase this data. We will, nevertheless, consider that you expressly consent that this unsolicited data is saved on our servers, if we have no proper tools or measures to delete it.
The personal data transmitted in the context of your request or your contractual relations with the ODL, may be used afterwards to provide you with information as part of their mission and in order to invite you to any event organized by ODL.
In application with the GDPR, you can at any time exercise your rights, namely to access your personal data, ask to amend, to erase, or restrict their processing, to oppose to their usage for marketing purposes, or to their portability.
However, your right to erase your personal data or restrict their processing, applies only within the application of ODL’s obligation of preservation. Your personal data is preserved for the duration of your contractual relationship with ODL whether the contract is signed by you as an employer or an employee of your ODL client company and for the time necessary to fulfill their legal obligations and the prescription periods that apply to them. The data is preserved as long as necessary to protect the legitimated rights and interests of ODL.
Your personal data is used by the employees of the various departments of ODL within the framework of the missions assigned to them and can be transmitted to the public authorities, whose ODL depends in accordance with the legislation in force.
All the technical and organizational measures have been implemented by ODL, in order to guarantee an appropriated level of security to detect any risk related to the concerned data.
Your data may also be transmitted, with your approval, to external advisors (contractual partners of ODL, for example a co-insurer or reinsurer, lawyers, collection agencies, etc.), who will also have to comply to the GDPR.
Your personal data may also be transmitted to ODL’s lawyers in order to defend and protect the rights and interests of ODL, in case of litigation.
The personal data are not automatically processed and are not transferred to trading companies for marketing purposes.
